Sometimes another maebe team should work on your media – for example an agency reviewing the same shots with your client. For that you can share a folder from your media pools with another team. The other team can then view, rate and download it – but not upload, delete or move anything.
You always share one top-level folder including all its subfolders and the media inside. To hand over two folders, share them one at a time.
Setting up the connection
So no one can share unasked, the connection runs through a receive key. The receiving team hands it out, the sharing team redeems it.
- The receiving team creates the key. In the media pools there's a Shared pools section. There the team owner clicks Create receive key – a short code appears that's valid for 10 minutes and single use.
- The code goes to the sharing team. Give it to the team that wants to hand you a folder (e.g. via a message).
- The sharing team redeems it. Their owner opens the folder in question and enters the code under Share with another team. Done – the folder shows up for the receiving team under Shared pools.
Both actions are reserved for the respective team owner.
What the receiving team can do
- View – the whole folder including subfolders and media.
- Rate – the traffic light (green/yellow/red) can be set. The rating is visible to both teams – the one set last always wins.
- Download – individual files in original quality.
- Use for content suggestions – from the green-rated images you can generate post suggestions (just like your own pools). The finished post then lands in the receiving team's own project.
Not possible: uploading, deleting, moving, renaming and changing the client approval link – those stay with the owner.
Storage
The shared folder still only counts towards the owner team's storage. The receiving team only uses storage once it turns the folder into its own post – then the used files are copied.
Ending the share
Either team can end the share at any time – the receiving team in the Shared pools section, the sharing team in the respective folder. The folder then disappears from the receiving team's overview. Ratings that were already set stay.
