When a media pool grows, you can organise it with sub-pools – like folders inside a pool. That way you can separate, say, "Morning shoot" from "Afternoon shoot", or "Reels" from "Feed images", without having to create several separate pools.
Creating sub-pools
- Open the pool from the sidebar.
- Click New sub-pool.
- Give it a name – done. The sub-pool appears as its own tile inside the pool.
You can have as many sub-pools side by side as you like. Images and videos live either directly in the pool ("top level") or inside one of the sub-pools.
Tip: In the move dialog, sub-pools are called "galleries" – it means the same thing.
Moving media & galleries
You can rearrange your material at any time:
- Single or multiple media: Select the files and use Move. In the dialog you pick the target gallery, or push them back to the top level (own gallery).
- A whole gallery: With Move gallery you relocate an entire sub-pool somewhere else.
Moving keeps ratings and original files intact – only the location changes.
Changing the order
You decide how the tiles are arranged. In the tab bar above the media you'll find Reorder. In reorder mode you drag the tiles into place and save them with Save order (or discard with Cancel). This applies both to the media within a level and to the arrangement of the sub-pools.
The order you set applies to your whole team and shows up the same way in the shared link – so you and your clients see the selection in the same arrangement.
Sorting the pool overview
The overview of all pools can be arranged too: above the tile grid you choose between Newest first, Oldest first and Manual. "Newest first" puts the pools that most recently received media up front. In Manual mode an extra Reorder button appears – drag the pool tiles into your preferred order. The setting applies to your whole team.
Archiving pools
Finished projects don't have to be deleted: Archive (at the bottom of the pool page, just above the red danger zone) moves a pool into the collapsed Archive section below the pool overview. A few things to know:
- An active share link is deactivated when you archive – clients can no longer access the pool.
- Archived pools no longer appear in selection lists (for example in content suggestions or the Visuals photo picker). The pool itself stays open and usable for your team.
- Restore from archive (in the same spot) brings the pool back to the overview. The share link deliberately stays off until you switch it back on yourself.
What's visible in the shared link
Each sub-pool has a toggle, Visible in link or Hidden from link. With it you control per sub-pool whether it shows up in the shared link. So you can show clients only the finished selection and keep raw material or internal galleries hidden – all in the same pool.
Note: Hidden sub-pools are still visible to your team, just not in the public link.
